Role Overview

FTE: 80%

Reports to: Head of Human Resources

The HR Generalist is responsible for the day-to-day delivery of Human

Resources services across the employee lifecycle and plays a key role in developing

and continuously improving HR operations. Working closely with the Head of HR, the

role leads operational HR initiatives, ensures compliance with Luxembourg labour

legislation, and contributes to building efficient, scalable HR processes that support the

organisation's growth.

Key Responsibilities

HR Operations

- Deliver efficient day-to-day HR operations across the employee lifecycle.

- Prepare employment contract amendments, probation confirmations and

employment-related correspondence.

- Maintain accurate electronic and paper employee files.

- Process employee changes including salary adjustments, promotions, transfers and

working hours.

- Coordinate offboarding activities from an HR administration perspective, ensuring all

required documentation and compliance activities are completed.

- Maintain organisational charts and employee data.

- Ensure all HR documentation is accurate, complete and compliant with Luxembourg

legislation.

Employee Support

- Act as the first point of contact for employee and manager HR queries.

- Interpret and explain company policies and HR procedures.

- Provide guidance on leave, working time, benefits, probation, performance

processes and employment conditions.

- Escalate complex employee relations matters to the Head of HR.

- Build trusted relationships across the business through responsive and professional

HR support.

HR Compliance

- Ensure ongoing compliance with Luxembourg labour law and company policies.

- Maintain legally required employment records and statutory documentation.

- Monitor key employment milestones, including probation periods, fixed-term

contracts, medical examinations, work permits (where applicable) and mandatory

training.

- Coordinate statutory reporting and support inspections or audits by relevant

authorities.

- Maintain HR policies, templates and standard documentation.

- Monitor legislative changes and recommend updates to HR processes and

documentation.

HR Projects and Continuous Improvement

- Lead and deliver HR projects that improve operational efficiency, employee

experience and compliance.

- Partner with the Head of HR to implement strategic HR initiatives across the

organisation.

- Take ownership for the planning, coordination and successful delivery of assigned

HR projects.

- Review existing HR processes and recommend improvements to increase

efficiency, consistency and effectiveness.

- Develop and maintain HR procedures, templates and standard operating

procedures.

- Support the implementation of new HR policies, systems and programmes.

- Contribute to the ongoing development of the HR function as the organisation

grows.

Experience & Skills

Must have:

- Bachelor's degree in Human Resources, Business Administration or related

discipline.

- Minimum 5 years' experience in a Human Resources Generalist or HR Operations

role.

- Experience managing HR administration across the employee lifecycle.

- Experience implementing HR processes.

- Experience supporting payroll processes.

- Strong knowledge of Luxembourg labour law.

- Good understanding of HR best practices.

- Understanding of GDPR requirements relating to HR.

- Knowledge of employment documentation and HR compliance.

- Excellent organisational skills.

- High attention to detail.

- Strong written and verbal communication skills.

- Ability to manage multiple priorities.

- Strong interpersonal skills.

- Problem-solving capability.

- Customer-focused approach.

- Proficiency in Microsoft Office.

- Fluent in English and French.

Nice to have:

- Experience within manufacturing, engineering or technology environments.

- Experience in a growing SME or start-up.

- National from a NATO member country or one of the following NATO Indo-Pacific

partners: Australia, Japan, South Korea, New Zealand or Ukraine.
